How a freight quote is calculated
Almost every road freight rate is built from the same four parts. The calculator applies them in this order and shows the breakdown, so you can justify the price to a customer instead of defending a round number.
Price per kilometre
The part covering fuel, tolls, wear and hours at the wheel. It multiplies the actual road distance between pickup and delivery, not the straight line between them.
Weight and pallets
A trailer fills up by volume long before it fills up by weight. Charging per pallet protects you on bulky light loads; charging per kilo protects you on heavy ones. Many carriers price both and bill the higher.
Minimum charge
The floor below which a job stops being worth running. If everything above adds up to less, you bill the minimum. It is the rule that saves the most margin on short hauls.
Frequently asked questions
- How do I work out my own price per kilometre?
- Add up the vehicle's annual costs (fuel, tolls, insurance, maintenance, depreciation and driver wages) and divide by the kilometres it runs in a year. That gives you cost; your price is that cost plus your margin.
- Should I use road distance or straight-line distance?
- Always road distance. Straight-line comes up short by 15% to 30% depending on terrain, and that gap comes straight out of your margin.
- Do I charge by weight or by pallet?
- By whichever costs you more on that particular load. Common practice is to compute both and invoice the higher, so light freight filling the whole trailer doesn't lose you money.
- Is anything I type here saved?
- No. The calculation runs in your browser and nothing is sent or stored. No signup needed either.
